Executive Assistant

This is a unique opportunity for an experienced Executive Assistant to join a newly established government entity, supporting the CEO, Executive Leadership Team, and Board during a critical phase of growth and development. This is a 6 month contract role and offers the chance to contribute to the foundation of a high-impact organisation while managing both executive support and office operations.

As Executive Assistant, you will play a dual role-providing high-level support to the CEO and executive team, while managing the day-to-day operations of the office. You’ll be instrumental in coordinating strategic initiatives, supporting governance processes, and ensuring the office runs smoothly.

Challenges of the role:

  • Supporting a newly formed organisation with limited infrastructure.
  • Balancing executive support with office management responsibilities.
  • Coordinating across multiple stakeholders including the CEO, Board, and wider executive team.

Key responsibilities:

  • Manage the CEO’s calendar, meetings, travel, and communications with internal and external stakeholders.
  • Provide administrative support across the ESC, including drafting correspondence, preparing reports, and handling confidential documents.
  • Support strategic planning and initiatives across the ESC, coordinating efforts and tracking progress.
  • Lead improvements in administrative systems and processes to enhance performance.
  • Oversee office operations including equipment, supplies, and facilities.
  • Coordinate with finance to manage office budgets, expenses, and invoicing.
  • Facilitate Board operations including meeting logistics, minute-taking, and action tracking.

About you:

  • Tertiary qualifications in administration, management, or a related field (preferred).
  • Extensive experience supporting senior executives and/or Boards in a confidential and professional capacity.
  • Strong organisational skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Experience in office management and budget coordination.
  • High level of discretion, initiative, and emotional intelligence.
