ABOUT THE OPPORTUNITY
This PA / Administration Officer role offers a broad scope of support responsibilities to a manager and their wider unit. You will be responsible for ensuring seamless day-to-day coordination of schedules, communication, documentation, and workflow, contributing to the efficiency and success of the broader team.
Key responsibilities include:
- Coordinate and manage the manager’s diary, travel bookings, meetings, hospitality, and office events
- Track, triage and manage all incoming and outgoing correspondence, ensuring timely action or referral in line with procedure
- Prepare, draft, and format a variety of formal documents including letters, agendas, minutes, briefing notes, and internal communications
- Maintain accurate records, filing systems, and databases, ensuring secure and accessible storage of key documentation
- Provide data entry and word-processing support with a high degree of accuracy and compliance with government style guidelines
- Liaise with internal teams, NCAT, and external stakeholders, screening and responding to enquiries in a professional manner
- Coordinate travel and logistics in line with internal policies and public sector travel procedures
- Support ad-hoc research, project, and reporting tasks as directed by management
ABOUT YOU
- Demonstrated experience in a PA, Executive Assistant, or Administration Officer role, ideally within government or a similarly structured setting
- Strong verbal and written communication skills, with an ability to draft professional correspondence and manage stakeholder interactions with discretion
- Highly organised, deadline-driven, and able to manage multiple priorities with minimal supervision
- Technically proficient across the Microsoft Office Suite and experienced in document and record management systems
- Ability to interpret and apply policies, standards, and administrative procedures
- Confident, adaptable, and proactive in managing tasks and supporting team needs
- Must be able to pass a National Criminal Record Check and provide two professional references

- Rate: $45.01 per hour + Super
- Duration: 6 Months
- Location: Sydney CBD
- Hours: 7 hours/day, 35 hours/week
- Working from Home: Initially on-site; flexible arrangements considered after onboarding
